During times of uncertainty, our goal is to help ease the minds of your athletes and their families. We have enhanced our cancellation policies to be more flexible and team-friendly. We have put the following terms in place to alleviate ambiguity when booking rooms for events this season. We hope these clear policies will allow you to easily rationalize overnight accommodations when planning your event season. We are proud to introduce Team Travel Source’s Cancel Convenience this season!

 What is Team Travel Source’s Cancel Convenience?

Team Travel Source’s Cancel Convenience is a mandatory, non-refundable fee. The fee is automatically charged per reservation at the time of booking. Most reservations equipped with TTS Cancel Convenience are eligible for free cancellation up until 72 hours prior to arrival, unless otherwise noted. In waiving these cancellation fees, TTS hopes to provide extra comfort and flexibility to guests planning their event season travel! Please note that Housing Protection is a separate, optional coverage that is offered in addition to TTS Cancel Convenience. 

How much will I be charged at the time of booking? 

You will be charged $9.99 at the time of booking. This includes both the Cancel Convenience fee, plus a standard reservation fee. 

Do all hotels/reservations include Cancel Convenience?

Yes. 99% of the hotels we have offered among our full-service cheer events will include Cancel Convenience and be eligible for free cancellation up until 72 hours prior to arrival. However, there are some select Host Properties that contain different policies since they are generally hotels that are associated with the event venue. Please see the example "Buckets" below for more details!

BUCKET 1 - 99% OF HOTELS

$60 non-refundable cancellation fee will be charged to the credit card on file for all reservations made that are cancelled after 45 days prior to arrival.

THIS SEASON

$9.99 BOOKING FEE

No penalty fees for reservations cancelled
prior to 72 hours to checkin.

BUCKET 2 - SELECT HOST HOTELS

These are hotels that are generally associated with the event venue and have extensive cancellation policies beyond 72 hours prior to arrival AND/OR advance deposits. Please pay attention to each property's individual policies.  Some examples would include Gaylord and Renaissance Hotels. 

 

LAST YEAR

$99 non-refundable cancellation fee will be charged to the credit card on file for all reservations made that are cancelled after 45 days prior to arrival.

 

First night/entire room and tax deposit

charged 15-30 days prior to check in.

THIS SEASON

$9.99 BOOKING FEE

A non-refundable cancellation fee will be charged to the credit card on file for all reservations made that are cancelled after 21 days prior to arrival. This fee varies by hotel, ranges from about $99-199.

 

Please pay attention to each property's individual policies when booking.

If the entire event is cancelled, active reservations will not be charged the 21-day cancellation fee. Hotels would refund deposits paid if applicable.

What is Team Travel Source’s Cancel Convenience?

What is the difference between the $6.00 Cancel Convenience fee and the $3.99 Reservation fee?

Both the Cancel Convenience and the Reservation fee are one-time, non-refundable fees, but each fee serves a different purpose.

 

The reservation fee is a one-time, non-refundable $3.99 service charge that is applied to 100% of Team Travel Source reservations. This charge will appear on your credit card to cover the administrative processing of your reservation.

 

What is administrative processing? Any changes or cancellation are filtered through Team Travel Source through the week of the event. Our customer service team is ready to go above and beyond to ensure you don’t have the hassle of handling changes, cancellations, modifications on your own! Event better, Team Travel Source monitors all event-wide cancellations, and should an event cancel for any reason, do not worry about reaching out to cancel your reservation—TTS will do all the work for you and send an email confirmation when complete!

 

Is Cancel Convenience applied to all cheer reservations booked through Team Travel Source?

Team Travel Source’s Cancel Convenience is applied to all hotels we contract with. If your reservation is equipped with cancellation convenience, it will appear on your guest receipt.

 

Why are some hotels with cancel convenience not eligible for free cancellation up until 72 hours prior to arrival?

 Our host hotels and prime properties for certain events may have extended cancellations or deposits to reserve the rooms. Please check your confirmation for properties individual policies. These policies help to ensure no one person or program holds rooms that they will not utilize at properties where many guests are trying to book. It assists in making sure every person and every program has a fair shot at the most coveted inventory.  Please check out the list of properties above  to see hotels that are not eligible for free cancellation up until 72 hours prior to arrival.

Why is the cancel convenience charge still applied to these reservations? With the fee, cancellation policies for host and prime properties have been relaxed. TTS has worked hard to ensure our guests have flexibility with their reservations this season. Instead of being charged cancellation fees starting at 45 days prior to the event, cancellation fees are not applied to cancellations up until 21 days prior.
